Executive Assistant to Head of Operations – itison Venues

At itison Venues, we own seven of the city’s most exciting bars & restaurants including Sloans, Brel, Epicures by Cail Bruich and Maggie May’s. 

Our venues are also involved with all itison major events, including GlasGLOW, and our ‘Marshmallowland’ feature has become a legendary part of these events. 

We’re looking for a talented and ambitious Executive Assistant to join our Venues team to work alongside and support the Head of Operations for itison Venues. 

This is a fast-paced role that would suit someone smart and confident with exceptional people skills, and a flexible lifestyle, who is looking for a hands-on role within an exciting hospitality company. 

The ideal candidate will have a background in hospitality and or events, be used to working at pace, have excellent time management and organisational skills, and thrive under pressure. 

About the role and you 

The role will involve supporting the Head of Operations in all aspects of their role and getting stuck into all the operational aspects of running our venues along with involvement in itison major events. 

Every day will be a little different, but expect to be busy, whether it be working on administrative tasks for our portfolio of bars and restaurants, liaising with suppliers, or assisting the Head of Operations with day-to-day jobs and projects. 

This is a brilliant opportunity for the right candidate to grow and develop within a dynamic and rapidly growing operation. We’re looking for a team player who is ready to get stuck in and hit the ground running from the off! 

The role will be based in our venues with occasional time spent in our Glasgow HQ and on site at itison major events. The role will include evening and weekend work. 

The core responsibilities of the Executive Assistant

We’re looking to a skilled and experienced professional to: 

  1. Support the Head of Operations and assist with daily tasks and ongoing projects 
  2. Assist with the organisation of new venue openings and itison major events 
  3. Manage property & equipment maintenance for our venues 
  4. Carry out day to day administrative tasks 
  5. Liaise with venue and event suppliers 
  6. Support with ordering & associated paperwork 
  7. Carry out other ad-hoc tasks as required to support the Head of Operations 

 Key skills and experience 

  • Excellent communicator & team player - you are a people person with exceptional verbal and written communication skills and comfortable liaising with and building relationships with people at all levels within the company, and externally. 
  • Exceptionally organised – you will have superb organisational and time management skills and be adept at multi-tasking and juggling a busy workload.  
  • Detail orientated - your attention to detail and accuracy will be spot-on. You will be responsible for a variety of administrative tasks and ordering that require you to be on top of the detail, with tight deadlines and a busy workload. 
  • Flexible and adaptable - you can think on your feet and respond quickly to changing priorities and demands, whilst remaining calm under pressure. 
  • Strong IT skills – you will be a whizz with systems and proficient with different software including Microsoft Office, and Excel in particular.  
  • Resourceful and proactive - you are confident making decisions and problem solving independently.
