Staffing Manager - itison Major Events – Fixed Term (July 22 – Jan 23)

Our world-class events, including GlasGLOW, Elfingrove, and Drive-In Movies attract over 350,000 event-goers annually and are consistently rated 5 stars. It takes a team of several hundred talented freelancers to bring our events to life.  

We’re looking for a highly motivated and experienced Staffing Manager to join our Major Events team and help us deliver unbelievable event experiences.  

This is a fixed term role from July to January, with the possibility of future work at our 2023 events. 

What’s the role? 

As Staffing Manager, you will work alongside our in-house teams and a network of highly skilled freelancers, managing the journey from pre-event to post-event. 

Working between our Glasgow HQ and on-site at our outdoor events, you will be the bridge between internal departments and the teams on-site at our events. 

In the run-up to events, you will support the HR team with recruitment and handle onboarding and systems administration. You will also support the Event Producers with production team contracts, travel bookings, and developing a training manual for on-site teams at the events. 

Once teams are on board, you’ll be responsible for keeping people up to date, answering queries, creating and issuing rotas, and on-site induction training. You’ll also support as needed with other ad-hoc tasks, such as collating health & safety paperwork and right-to-work documents. 

It will be your job to ensure a smooth transition from recruitment to when the event goes live and to keep the team engaged, excited and informed throughout.  

The ideal candidate will have experience in organising large teams, ideally within hospitality or outdoor events, and will thrive in a fast-paced environment with ever-changing priorities. 

Key Skills and Experience 

  • A minimum of 3 years experience working in a busy events or hospitality environment 

  • A passion for events and you love the buzz of a live event environment 

  • A people person that works well with different personalities, teams, and contractors 

  • Experience liaising with and organising large teams of 100+ people 

  • Adept at rota management and used to producing rotas for large teams 

  • Exceptional planning and organisation skills and you thrive in a fast-paced environment dealing with changing priorities and demands 

  • An ability to think on your feet and problem-solving comes easily to you 

  • Proficient with Microsoft Excel and good with systems in general. Experience with recruitment and rota management systems e.g. Rota Ready would be beneficial but is not essential. 

  • Flexible, adaptable, and happy to work wherever you’re needed – the role will also involve some early mornings, evenings, and weekend work, so you’ll need to be comfortable with this
