Events Coordinator - Audience Services

We're looking for a talented Events Co-ordinator to join our in-house Events team working on an exciting programme of major outdoor events.  

About the role 

We believe life is all about great experiences and our Major Events division specialises in delivering large scale outdoor events; GlasGLOW and our itison Drive In Movies series attract tens of thousands of visitors each year and are consistently rated 5 stars.

We have exciting plans to grow our annual programme of events and are looking for a highly motivated event co-ordinator to join our in-house team.  

The role is fast paced and ever changing; you’ll be based in our Glasgow HQ working alongside our in-house events team and a network of highly skilled freelancers to develop and deliver unbelievable experiences. 

The role will be based on an initial three-month trial period with the view to being extended.

Core Responsibilities: 

  • Work alongside and support the producer on all key aspects of event planning including schedules, budgets, stakeholder communication and licensing 
  • Work with the producer and creative team on improving our inclusivity and community engagement including the creation of our sensory guides and the distribution to guests as required
  • Work with our customer support team to create all event specific maps, details and ‘know before you go’ information for attendees
  • Work with our web design, development and customer support department to collate content and FAO for event microsites  
  • Support press and marketing and customer support teams with ongoing policy and comment on social media throughout events  
  • Create comprehensive event signage plans and co-ordinate, design, printing and on site display
  • Work with the production team to model audience capacities and schedules for events
  • Oversee the event ticketing process for each event, working with ticketing systems, on-site staff and box office mangers to set-up and maintain ticket sales and scanning systems, including guest list management, concession tickets and systems for guests & carers
  • Oversee the box office function for each event working with box office managers, on-site to set up our systems, software and physical box office  
  • Act as an on-site duty manager for the events as required 

What we're looking for: 

  • At least three years’ experience in a fast paced events environment - preferably outdoor  
  • Excellent administration skills and used to working with Microsoft Office and other systems
  • Strong written and verbal communication skills 
  • A team player, who is positive, energetic, and adaptable
  • Comfortable working outdoors in challenging environments
  • Experience working with box office and ticketing systems 
  • A good knowledge of the Scottish events industry
  • Calm under pressure and able to think fast on your feet 
  • Great problem solving skills with a focus on presenting solutions
