Events Assistant – itison Major Events - Fixed Term (July 22 – Jan 23)

Our world class events, including GlasGLOW, Elfingrove, and Drive-In Movies attract over 350,000 event-goers annually and are consistently rated 5 stars. It takes a team of several hundred talented freelancers to bring our events to life.  

We’re looking for a highly motivated Events Assistant to join our in-house Major Events team and support us in delivering unbelievable event experiences. 

This is a fixed-term role from July to January, with the possibility of future work at our 2023 events. 

What’s the role? 

You will be supporting our in-house Events team and freelance Production teams to help us plan and deliver amazing event experiences. 

During the planning stage of events, you will assist with administration including sourcing quotes, ordering props and uniforms, issuing POs, gathering invoices, preparing event documents, and collating meeting notes. 

You’ll also be liaising with suppliers and will be the point of contact for our external partners, so you’ll need to be great with people and comfortable dealing with different teams and personalities. 

Once events are live, you’ll be a friendly face on site – acting as a runner when needed, helping with the event set-up, run, and pack-up, assisting with community engagement, and supporting the on-site and production teams. 

We’re looking for a talented, positive, and dedicated all-rounder who’s ready to get stuck in! 

Key Skills and Experience 

  • A minimum of two years professional work experience, ideally in an events setting 

  • Energetic, friendly, fun, fearless, with a passion for events  

  • Experience working in public events, preferably within an arts or festival context 

  • A people person with excellent written and verbal communication skills  

  • Detail-orientated with excellent planning, organisation, and time management skills 

  • Proactive and you possess lots of common sense and initiative 

  • Excellent administration skills and experience of working with systems and office software e.g. Microsoft Office 365 (Excel, Word, Outlook, SharePoint) 

  • A self-starter with the ability to manage a busy workload autonomously and work under pressure to tight deadlines, in a fast-paced, ever-changing environment

  • A willingness to work flexible hours at event times, and happy to be outdoors – this could include early mornings, late evenings, and weekends
